The Executive Assistant supports and assists President & CEO and other Senior Executives to accomplish strategic objectives by performing the following duties.
Coordinates legislative and general meetings.
Composes and edits executive correspondence.
Coordinates President, spouse, officers, and board members meeting attendance, itinerary, travel arrangements, and follow-up.
Schedules President's and executive appointments and maintains calendars.
Opens and processes executive mail, determines routing, and distributes.
Receives and handles requests, complaints and concerns from bankers, and advises appropriate staff.
Maintains current and confidential filing system.
Coordinates President's and Exec Committee’s expense reports and submits to appropriate area for reimbursement. Processes general invoices through on-line A/P system.
Develops and maintains network of bank president/CEO assistants enhancing lines of communication between IBA and members.
Serves as liaison between IBA and President maintaining a high level of confidentiality.
Prepares the agenda and board books to be distributed to the IBA Board prior to meetings.
Attends all IBA Board meetings, sets up the room, takes minutes and transcribes the minutes following the meeting on a timely basis for publication and maintains the IBA minute books.
Follows-up to ensure appropriate action is taken in light of various decisions made during the meetings.
Coordinates the spouse events connected with various board meetings.
Coordinates the officer nomination and election process.
Coordinates IBA staff, officers and spouses’ attendance at regional meetings by reserving rooms.
Coordinates the past-chairman’s events held during the annual convention.
Communicates with IBA Executive Committee, board and region chairs to advise and review board related information.
Updates the IBA Board Policy Manual for distribution to incoming board members, works with board officers to coordinate their attendance at various meetings and events, and selects IBA holiday gifts for the board.
Assists with special projects initiated through community involvement through the President and represents IBA in community and professional organizations.
Other duties as assigned.
Required Education: Two year degree preferred.
Required Work Experience: Three to five years related executive assistant experience and/or training; or equivalent combination of education and experience
Technology Skills: Competent in Microsoft Office, Outlook, and Excel
Required skills or traits for the position: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Ability to summarize meeting actions in written form (minutes). Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
Certifications: Certified Administrative Professional (CAP) designation preferred but not required.
