The Meeting and Events Assistant will work under direct supervision but with some independence to provide administrative/clerical support to the Education Department by performing the following duties.
Coordinates event logistics for seminars, conferences, schools, peer group and regional meetings including hotel details and menus. Prepares manuals, packets, badges, marketing materials and mailings.
Provides Education Department administrative services such as customer calls, file maintenance, correspondence, proofreading, confirmations, evaluations, name badges, and evaluation summaries.
Travels to and attends IBA events to provide onsite supervision or assistance. Ensure AV equipment is set up and working properly. May be required to pick up speakers at the airport and provide transportation to and from event locations throughout Iowa.
Maintains, orders and coordinates department and event supplies including badge holders, ribbons, conference pocket folders, pencils, lanyards, and other supplies. Prepares Production Requisition for printing IBA badge stock.
Coordinates IBA Convention Registration Desk and provides onsite coordination during event.
Assists with IBA Peer Group coordination including; annual billing, scheduling & logistics.
Maintains relationship with the Iowa Insurance Division and does regular reporting of insurance continuing education credit hours. Issues certificates of attendance to all who submit for credit hours.
Assists with IMA and ITA support including membership tracking, seminar coordination and support, board meetings and minutes.
Makes updates and changes to IBA website including the IBA Calendar of Events.
Works with department to create promotional materials and newsletters.
Required Education: High school diploma or general education degree (GED)
Required Work Experience: Two to three years related administrative experience and/or training; or equivalent combination of education and experience.
Technology Skills: Proficiency in Microsoft Word, Excel and Outlook. Experience in Adobe Creative Suite or other design software a plus.
Required Skills: Ability to manage multiple tasks.
